    Hi,
    I hv initiated a Six Sigma project in controlling absenteeism. As u would be aware absenteeism is one of the core factors which affect call center businesses in India apart from Attrition.
    I need some help, in terms of similar projects or ideas on way forward.

    Having recently undergone Black Belt training I am currently working on my first project – “Improving efficiency & reducing absenteeism by improving employee morale.  The most difficult aspect of the project was putting an actual cost to an employees absence.  We do not pay our shopfloor employees when they are off work.  You need to establish what your current level of absence is, and analyse the type of absence i.e. is it short term or long term.  Also track the reasons for absence and attritiion.  This will give you a base to consider what initiatives will be most effective in reduciing the problems

    I have recently been engaged on a project relating to Absenteeism, I hope that the information provided will be of some benefit to you. The team soon realised that as a project Absenteeism has such a broad spectrum.  Firstly we checked how we recorded Absenteeism, and made sure that our systems/processes were in order.  Did we all record absence in the same manner?  MSA revelealed all!  The second part of Absenteeism is the ‘people’ part.  How can you change the mind set of somebody who is taking time off here and there?  We carried out a cause and effect diagram with shop floor personnel and then their Managers seperately.  You have to really gain the ‘buy in’ from the shop floor though to make this successful, ensuring confidentiality and  anonymity.  The main focus for my project is related to the process of recording absence, as this is one of the causes (x’s) from the shop floor c&e. Our team also looked at patterns of absence;  First day of absence, duration of absence, reasons for absence, particular areas ie HR, Finance, Purchasing, Shop floor.  We used the c&e analysis to overcome issues relating to the ‘person part’ of the project.  Our absence has been reduced by initiating training events, automated calculation of ‘absence points system’, a measurable benefit of the project however, was that minor issues that hadn’t been brought forward previously were identified and easily rectified through the c&e exercise.  I hope this provides you with some useful ideas.  Good luck!

    Puru, As absenteeism is a generic effect with many likely causes, you will have issues identifying specific causes & establish a rigorous monitoring mechanism.
    Problems with data here are especially the guilt an absentee would associate with his absence and the falsifications of reasons thereof. To counter that,  it may be better to start at the outset with focus group discussions using standard tools such as CNX or get creative with case studies and ask people to theorize on why the absenteeism, and use the result set as an approximation of actuals.
    Solutions you may end up with :
    1. More empowered team leaders
    2. Contact details of personnel
    3. Changes to logistics

    Yes. She wrote this in 2003 thinking she would be able to help people with HR Projects for many years to come…but it wasn’t to be. So here, this poor guy six years later, requests a copy only to be so sadly disappointed. But she’s surely in a better place.
